We respect your privacy and want to be clear about how we use your personal information. This policy explains what SPIKA Limited collects through this website and through our business conversations, why we collect it, who we share it with and the choices you have.
This policy applies when you browse spika.com, contact us, or communicate with us about our services. When we process personal information for a client as their supplier, the client’s own privacy information and our contract with them will usually apply instead.

For the information covered by this policy, SPIKA Limited is the controller. This means we decide why and how that information is used.

Information we collect
Depending on how you use the website or communicate with us, we may collect:
- your name, job title and company;
- your email address, telephone number and other contact details;
- the information you include in a contact form, email or other message;
- information about our conversations and business relationship;
- technical information such as your IP address, browser, device type, approximate location, referring page, pages viewed and the date and time of your visit;
- your cookie and analytics choices; and
- anti-spam and security information generated when you use our contact form.
We usually collect information directly from you. We may also receive business contact information from a colleague, referral partner, public professional profile or other lawful public source.
Please do not send us sensitive personal information through the contact form unless it is necessary for your enquiry.
How and why we use it
We use personal information only when we have a lawful reason to do so. Where we rely on legitimate interests, we consider the effect on you and do not use your information where your rights and interests outweigh ours.

Contact form security
Our contact form uses Google reCAPTCHA to help distinguish genuine enquiries from automated abuse. Google may receive technical and interaction data when the check runs. We use reCAPTCHA only to protect the form, and load it only when it is needed to submit an enquiry. Google’s use of information is governed by its own privacy terms.
An automated score may cause a message to be blocked as suspected spam. This does not produce a legal or similarly significant decision about you. If a genuine message is blocked, you can call us on +44 (0)20 3948 1255.
Cookies and analytics
We use essential browser storage to remember your privacy choice. With your permission, we also use Google Analytics to understand how people use the website. Analytics is off unless you choose to accept it.

Who we share information with
We may share personal information with trusted organisations that help us run the website and our business, such as providers of hosting, email, cloud storage, analytics, security and professional advice. They may use the information only as agreed with us or as required by law.
- members of the SPIKA team who need it to respond or deliver our services;
- law enforcement, regulators, courts or other authorities where the law requires it;
- professional advisers where needed to establish, exercise or defend legal claims; and
- a buyer or successor as part of a sale, merger or restructuring, subject to appropriate confidentiality protections.
We do not sell your personal information.
International transfers
Some of our service providers may process information outside the UK. Where this involves a restricted transfer, we use a lawful safeguard such as UK adequacy regulations, the UK International Data Transfer Agreement or the UK Addendum to approved standard contractual clauses. You can contact us if you would like more information about the safeguards used for a particular transfer.
How long we keep information
We keep personal information only for as long as we reasonably need it. We may keep information for longer where the law requires it or where it is needed for an active dispute or investigation. We may delete it sooner when it is no longer useful or required.
- general enquiries and prospect correspondence: normally up to 24 months after the last meaningful contact;
- client records: while the relationship continues and normally for up to six years afterwards where needed for legal, tax or contractual purposes;
- website security and access logs: normally no more than 90 days, unless needed to investigate an incident;
- Google Analytics event data: no more than 14 months; and
- cookie choice records: six months.
How we protect information
We use appropriate technical and organisational measures to protect personal information from loss, misuse, unauthorised access or disclosure. No internet service is completely secure, but we review our controls and limit access to people who need the information for their work.
Your rights
Depending on the circumstances, you may have the rights listed below. These rights are not absolute and sometimes an exemption applies. To make a request, email privacy@spika.com. We may need to confirm your identity before acting on it.
You can also complain to the UK Information Commissioner’s Office. We would appreciate the chance to resolve your concern first, but you do not have to contact us before approaching the ICO. Visit ico.org.uk/make-a-complaint for details.
- ask for a copy of your personal information;
- correct information that is inaccurate or incomplete;
- ask us to delete or restrict the use of your information;
- object to processing based on legitimate interests, including direct marketing;
- receive certain information in a portable format; and
- withdraw consent at any time, without affecting earlier lawful use.
Children
This website is intended for business audiences and is not directed at children. We do not knowingly collect personal information from children through it.
Links to other websites
Our website may link to websites run by other organisations, including LinkedIn. Their privacy policies apply when you visit them. We are not responsible for how those organisations use your information.

We may update this policy when our website, services or legal obligations change. We will publish the updated version here and highlight significant changes where appropriate.
